What to do before a WeVideo license expires
- Enable download for all users: Admin can enable the download option for all users in the admin panel’s permission settings, allowing users to download and back up their content and save it to a drive or other locations. See this article for how to modify role permissions. If users have unfinished projects, please inform them to export those work-in-progress projects first and download the exports so they can continue working on them with other tools after the WeVideo license ends.

Remove all users from the license: Once users have backed up their content, admins should remove them from the license before the expiration date. See this article for more information on removing users from the license. There are two options to remove users from the license:
- Permanently delete: Users' accounts, along with all media and projects associated with them, will be deleted.
- Convert to individual account (expired trial): Users’ accounts will be placed in an expired trial state and will not be able to access their content until they join another license. Alternatively, if user accounts are permanently deleted, data cannot be restored.

End the license and permanently delete all users
If administrators end the license and permanently delete all users, all accounts, data, and content are deleted and cannot be recovered. See more from this article on how to delete an account.
End the license and convert all users to individual accounts (expired trial)
If administrators decide to end the license and convert all users to individual accounts (expired trial), users’ accounts, projects, and exports will be stored and can be accessed once they join another license. However, users lose access to classes, assignments, and groups. The converted accounts are also subject to the 90-day inactive policy and will be deleted if the users do not join the new license within 90 days.
Merge current licenses into a district license or Admin Plus license
If accounts migrate to a district license or Admin Plus license, users retain access to the paid account features. Users can access their accounts, projects, and exports after the migration. However, users cannot access classes, assignments, and groups from the previous license. See this support article for more information on merging into a new district license.
WeVideo expired account limitations
WeVideo expired accounts are subject to the 90-day inactivity policy. Expired accounts that are inactive for 90 days have their content automatically deleted. This includes in-progress, completed, and uploaded videos and media. The deletion can not be restored.
Upgrade expired teacher accounts to regain access
In addition to joining another license, instructors can upgrade to an Instructor Plan to regain access to their account and content. See pricing plans to compare the plans. The Instructor plan with 30 seats allows learners with expired accounts to join.
Requirements for offboarding WeVideo accounts
- If user accounts remain in the license after it expires, they cannot join a new license or access their account. Please ensure all users are removed from the license before it expires. If the license renews or resubscribes within 90 days, users regain access to their classes and data.
- Be sure students complete and turn in any unfinished assignments so they can locate and download their work from the Exports page before the offboarding process.

Limitations to WeVideo account changes
- Expired accounts are subject to the 90-day inactivity policy
- Deleting accounts permanently deletes associated content and can not be restored.
