Yes, student accounts under an Educational license are fully FERPA- and COPPA-compliant, which means WeVideo collects only the data absolutely necessary to maintain their accounts. WeVideo does not share student data from education plans with any third parties. Students are never presented with any advertising (not in the app, not by email, not through third parties). Students on education plans are, by default, opted out of all communications and cannot opt in.

What does the WeVideo for Education privacy policy cover?

The WeVideo Privacy Policy for Educational Users covers users (Administrators, instructors, and students) using WeVideo under the Educational license to access the WeVideo platform, including on WeVideo.com, WeVideo for iOS, and WeVideo for Android.

The data WeVideo collects include user’s name, email addresses, login credentials, videos created, imports, and exports.

WeVideo may also collect certain information automatically through platform use. This information includes:

  • Device's Internet Protocol (“IP”) address
  • Type of mobile device used (if accessing with a mobile device)
  • The operating system of the device
  • Browser type
  • Non-precise geographic location (e.g., country, city, zip code)
  • Technical information about the device, system, software, and peripherals
  • system configuration information
  • Any search terms that learners may enter on the service
  • Information regarding students’ interaction with exported videos, for example, whether they opened, clicked on, or shared the exported video

The contract terms from the educational institution for the WeVideo service might restrict how and what information we can collect or use beyond what is described in this section.

How does WeVideo handle data?

All student data collected during account creation or product use is stored securely and encrypted in a manner that meets industry standards, and the data is anonymized whenever possible. The collected data is never used for advertising of any students, and is not shared with any third parties.

Users can contact their school to have their account and personal information deleted from WeVideo to exercise their right to be forgotten.

Compliance with regulations

Students’ accounts under the WeVideo Educational license comply with FERPA and COPPA. The data collected from students' accounts is limited, protected, encrypted, and will never be shared with third parties. Please see the sections below for more details about FERPA and COPPA compliance.

How does WeVideo manage data to meet FERPA requirements?

When collecting data from students, WeVideo follows the following standard to handle collected data:

  • The data are stored using a secure, encrypted method that meets industry standards.
  • The data is anonymized whenever possible.
  • The data is never used for advertising of any students.
  • The data is not shared with any third parties.

How does WeVideo manage data to meet COPPA requirements?

WeVideo is not intended for children under 13 unless one of the following conditions is met.

  • The child users are using WeVideo under the WeVideo Educational license. In this case, all collected data are subject to FERPA, and the student’s institution governs privacy policies. The education institution may opt to post Child User videos publicly on the Platform along with the Child User’s name. Parents and legal guardians can review and access their Child User’s personal information by contacting the Child User’s education institution.
  • The child users have the consent of their parent or legal guardian to use WeVideo.
  • Use the application as a Guest User. As a Guest User, users can use the application without providing any personal information. Guest User mode is only available in some applications and is designed to allow use of the application without providing any personal information.

If none of the conditions are met, WeVideo will prevent registration until obtaining a parent’s or legal guardian’s consent, as explained:

  • If you are based in the U.S., your educational institution provides consent on behalf of your parent or legal guardian; and
  • If you are based outside the U.S., your teacher must first obtain your parents’ or legal guardian’s consent. If your teacher creates a student account for you without your parent first signing a consent form, please inform your parent immediately so that they can instruct us to remove your information from our files.

How does WeVideo manage data to meet GDPR requirements?

To meet the GDPR requirements, WeVideo ensures that no sensitive personal information is collected and that no automated decision-making or profiling is used for users’ accounts. Users also have the right to access, correct, delete, transfer, restrict, object to, and withdraw consent to the processing of their data shared with WeVideo.

What schools/admins are responsible for

When students are part of a WeVideo Educational plan, their educational institution collects their personal information in accordance with its own policies, and WeVideo will follow the same policies as the educational institution when handling learners’ data. For example, if you are a teacher or student in your school’s plan, your school controls your data, and WeVideo processes it in accordance with your school's privacy policies. 

Administrators can adjust role permissions in the Admin dashboard to determine whether students can share their exports with the public. Please see this article for more information about adjusting role permissions from the Admin dashboard.

What students/teachers should know

Students under the Educational license cannot adjust their privacy and personal data settings for their accounts. When they visit the account settings page, they will be informed that their privacy and personal data settings are managed by their school and should contact their school administrators if they want to make any changes.

Students' accounts are, by default, opted out of data analytics and email preferences, which means WeVideo will not collect usage data or crash reports from their accounts, and they will never receive emails from WeVideo regarding product updates or newsletters. They are also never shown any advertising—whether in the app, via email, or through third parties.

Students’ names, email addresses, and assignment submissions are visible to class teachers. It is the responsibility of the class teacher to ensure that learners’ information is not shared or disclosed without their consent.


 

Data retention and deletion

How long is data kept?

If you have initiated the sign-up process with us for the Services within the European Union but have not completed it, we retain your personal information on our servers for up to 24 hours. In non-EU locations, we will retain data for up to 60 days in this situation.

Once you complete the sign-up process and we create an account to provide you with the Services, we will store your data for as long as you receive the Services from us.

What happens after the account closure?

When deactivated, your WeVideo account, including your display name, username, and public profile, will no longer be viewable on WeVideo.com, WeVideo for iOS, and WeVideo for Android.

When you delete any type of account to discontinue service, data is deleted after a short grace period following account deletion. If you choose to exercise your right to be forgotten when deleting your account or terminating service, your personal information is immediately deleted.

How to delete users’ accounts and information from WeVideo?

After receiving a request from users to delete their accounts, school administrators can contact WeVideo (support@wevideo.com) to request the deletion of the user’s account and associated information. Also, school administrators can delete users’ data when removing them from the license. Administrators can opt to completely delete the accounts, removing any identifiable information from WeVideo by following the steps below.

Click the Members option to open the members page.

Select the users by clicking the checkboxes next to their names, and click the Delete button at the top.

Select the students you want to remove by clicking the checkbox next to their account, then click the Delete button at the top.

Select the Permanently Delete Member(s) and Their Account(s) option and click Next.

Select the “Yes, clear all personal identifiable information” option.

The options to keep copies of users' export and upload media are highlighted on the page.

(Optional) You can decide whether to keep the uploaded and exported media from learners. If you choose to keep copies of the media, they will be stored in a folder on the Uploads and Exports pages in your account. Please note that the copied media will also count toward the license’s storage.

The delete members button is highlighted on the page.

After configuring the settings, click Delete Members to permanently delete the students’ accounts.
