When removing users from an organizational license, WeVideo account administrators are given the option to 1) permanently delete members and all of their associated media, or 2) convert them to expired free accounts and optionally retain copies of their exported videos and/or uploaded media. If the admin chooses to save these copies, then the files will continue to consume license storage space even after the users themselves have been removed.
To free up storage space, admins can manually delete the copied files by following the instructions below.
Before you start
- If you have not yet removed the users, you can proactively free up storage space by deleting their uploads and exports at the time of removal. For more, refer to this resource on deleting users.
- Deleted media is permanently removed and cannot be recovered.
- Deleting media will free up storage space, but it will not reset the total publish time available under your license. Learn more about used storage and used time here.
Delete the copied uploads
Go to the Uploads page in the Multimedia Creation space and locate the copied files in a folder labeled with the user ID.
If you do not need to download the files (to save somewhere outside of WeVideo), click the folder’s three-dots menu and select Delete.
If you do want to download the files before deleting, click into the folder, click the three-dots menu next to the file you want to download, and select Download.
After downloading the files, click their checkboxes and then click Delete.
Delete the copied exports
Go to the Exports page in the Multimedia Creation space and switch to All Exports.
Find the exports that are no longer needed. If you want to download them before deleting (to save somewhere outside of WeVideo), click the three-dots menu next to each file you want to download, and click Download.
After optionally downloading the file(s), click their three-dots menu and then click Delete. (You can also select multiple files by clicking the checkboxes and then clicking Delete.)
