How do I export district-wide completion data as a CSV for annual reporting?

Administrators of the license can access the interactive videos’ or playlists’ analytics from the Media Library on the Administration page in WeVideo’s Interactivity space to view the completion data and export it as a CSV file for reporting purposes.

Before you start

Only the admins with the license can access the admin dashboard. Please ensure you are logging in with the admin account.

Export the district-wide completion data as a CSV file

After logging in with an admin account, select the Interactivity space from the top drop-down menu.

Switch to the Media Library tab to locate the interactive videos you want to examine.

If you want to examine completion data for playlists, click the Playlists option at the top of the page to switch to displaying playlists in the organization.

To search for a specific interactive video or playlist, use the search and filter tool. Click the Search/Filter option at the top right of the page to expand the search and filter tool.

You can search by keywords in the title, the creator’s last name, tags, course, target audience, subject, YouTube URL (if the interactive video is built with YouTube videos), or the interactive video ID. Click Apply to apply the filter and start searching for the interactive videos.

After locating the interactive video or playlist, click its thumbnail and select the Export Analytics option to export the analytics data to a CSV file.

Click the Export Data button in the pop-up window to confirm the export of the analytics. Depending on how many learners have taken the interactive video or playlist, the export may take longer than usual. Please keep the WeVideo tab open in your browser until the export is complete.

 

For the interactive video, the exported CSV will include the following information:

  • Interactive video ID
  • Interactive video title
  • Learner ID
  • Learner name
  • Learner Email
  • Class
  • Points earned
  • Points available
  • Score in percentage format
  • Status: Completed, started, and not started
  • Started time
  • Time spent
  • Max video timestamp
  • Completion time

For the playlist, the exported CSV will include the following information:

  • Learner ID
  • Learner name
  • Learner Email
  • Class
  • Status
  • Overall playlist score
  • Started playlist time
  • Total time spent
  • Completion time
  • Module title
  • Module type
  • Module status
  • Started module time
  • Time spent in the module

Limitations for exporting the analytics for reporting purposes

The exported CSV report includes data from all the learners who have taken the interactive video or playlist over the years. If you want to have a report for a specific year, there are two options to achieve it.

  • Manually filter the exported CSV file to extract the learners’ data for the year you want.
  • Make a copy of the interactive video or playlist each year and assign it to learners, so only learners’ data from that year appears in the exported report.
