How do administrators monitor usage in Interactivity?

The administrators of the WeVideo Interactivity license have access to the Administration page, which contains the license information, including the members, organizations, and media in the license. Please see this article for more details on the WeVideo Interactivity Administration Dashboard.

Access the Administration panel

Log into the WeVideo Admin account, and use the drop-down menu to navigate to the Interactivity space. Administrators will be taken directly to the Administration panel. Alternatively, administrators can select the Administration tab from the left sidebar to move to the Administration panel when they are in the Interactivity space.

Users can access the following tab from the administration dashboard:

  1. Admin Snapshot: Show the overall activity and usage of the license.
  2. Organizations: View the organization created in the license.
  3. Instructors: Show all instructors in the license.
  4. Media Library: Show all the interactive videos and playlists created in the license.

Admin Snapshot

The Admin Snapshot provides an overview of the license's activity and usage. Adjust the organization and the timeframe for the data, then click Load Aggregate Data to load and view the data. Administrators can find the following information in the snapshot.

  • All-time Instructors: Instructors in the license.
  • Active Students: Students who took interactive videos within the license in the set timeframe.
  • All-time Interactive Videos Built: Interactive video built within the license.

Click Load Graph Data to view data in the graph format. Administrators can find the following information in the graph data.

  • Student Engagement (hours): The number of hours students have spent on interactive videos assigned within the license in the set timeframe.
  • Interactive Videos Delivered: The number of interactive video attempts made on the interactive video assigned within the license in the set timeframe.
  • Interactive Videos Created: The number of interactive videos created within the license in the set timeframe.
  • Playlists Created: The number of playlists created within the license in the set timeframe.

Click Load List Data to view data in the list format. Administrators can find the following information in the list.

  • Most Engaged Classes: The top five classes in the license with the highest learner engagement hours in the set timeframe.
  • Most Viewed Interactive Videos: The top five interactive videos with the most views over a given time period.
  • Top Creators: The top five instructors within the license who have built the most interactive videos in the set timeframe.
  • Most Engaged Playlists: The top five playlists with the most engagement hours within the license.

Organizations

The Organizations tab displays quick statistics about each school site in the license. Only the admin for a master district can see all organizations within the license. From the Organizations tab, an admin can:

  1. Search: Use the search bar to search for the organization.
  2. Organizations: A list of organizations in the license.
  3. Integrations: The custom integrations enabled for an organization.
  4. Instructors: Click on it to view the instructors in the selected organization.
  5. Interactive Videos: Click on it to view the interactive videos created in the selected organization.

Instructors

The Instructors tab offers information for each instructor associated with the license. In this view, an admin can:

  1. Filter: Use the filter to find instructors from the selected organization or show only users with admin access.
  2. Search: Search the instructors by their name or email.
  3. Instructors list: The name, email, and organization of each instructor.
  4. Interactive Videos Built: The number of interactive videos built by each instructor.
  5. Export data: export the instructors' data into a CSV file.

Add instructors

The admins can add instructors to their licenses through the Instructors page. Click Add Instructors to add new instructors.

Enter the instructor's information and click Add to add the instructor to the license.

If administrators want to add multiple instructors at once, switch to the CSV Upload tab, download the template, add the instructors' information to the template, and upload the completed roster by clicking the Upload CSV File button.

Edit instructors

Select the instructor who needs to be edited, and click Edit Instructor at the top to edit the information for the selected instructor.

Remove instructors

Select the instructors who need to be removed by clicking the checkbox next to their names and clicking Delete Instructors at the top.

Media Library

The Media Library allows the administrators to view, edit, copy, or remove interactive videos and playlists created in the license. Admins will see the following information on this page:

  1. Tree View: Tree view is formed by a series of folders and subfolders to help the administrators organize content in the media library. Please see the section below for more information about tree view. 
  2. Disable Tree View: toggle on and off the tree view.
  3. Interactive Videos/Playlists Switch: Switch between display interactive videos and playlists.
  4. Search/Filter: Search the interactive videos or playlists by title, creator’s name, tags, course, target audience, subjects, or interactive video ID. If the interactive videos are built with YouTube videos, they can also be searched using the YouTube URL.
  5. Interactive Videos/Playlists: The interactive videos or playlists created in the license. Please follow the steps below to view, edit, or remove the content from the license.

View, edit, or remove content from media library

Click the thumbnail or scroll to the right and click the triple dots action button to expand the action menu for the interactive video. Admins can perform the following actions with the menu:

  • Edit: Open the interactive video or playlist in the editor to edit it. The admin can edit all the content in the license from the media library. After editing, the administrator will be added as a collaborator.
  • Copy: Copy the interactive video or playlist to the administrator’s account.
  • Preview: Preview the content in the interactive video player. The information entered in the preview mode will not be saved.
  • Settings: Adjust the interactive video or playlist settings.
  • Collaborate: Acquire the preview link or add/remove collaborators to the interactive videos or playlists.
  • Interactive Video Details: Show a list of classes the interactive videos or playlists have been assigned to.
  • Export Analytics: Export all learners’ attempts to the interactive video to a CSV file.
  • Export Worksheet: Export the interactions in the interactive video to a PDF file.
  • Delete: Remove the content from the license. Please note that the content will also be removed from its creator’s account and can not be retrieved.

Add folders to the tree view

To create folders in the tree view, click the triple dots button at the top and then click Add Folder.

Enter the folder title and click Save.

If administrators want to create a subfolder under a folder, select the folder to which the subfolder should be added, click the triple dots button at the top, and click Add Folder.

Enter the folder title and click Save.

Move items into the folder

To move content into a folder, click and hold the button next to the content, then drag it to the folder in the tree view.

Remove the folder

Select the folder to be removed, click the triple dots button at the top, and click Remove Folder. Please note that the folder cannot be removed if it contains interactive videos, playlists, or subfolders. Before deleting the folder, please move the content to other folders or remove it from this folder.
