How do I collaborate with other instructors in PlayPosit?

By utilizing collaboration options in PlayPosit, instructors can save time on content creation by reusing the materials that other instructors create. Furthermore, instructors can always copy, adjust, and modify the shared content to best suit their needs.

Besides shortening the content creation time, the ability to share and add collaborators is a great tool for quality assurance. The sharing ability provides a convenient method for instructors to share their content for review and revise it together if necessary. These features can also help administrators and the instructional design team work directly with instructors and support them during creation.

Bulbs

Bulb ownership

Instructors can find the ownership of the Bulb by checking the icon next to its title.

There are three different types of ownership:

  • Owner: The Bulb is created by you and you can add collaborators.
  • Co-editor: The Bulb's owner adds you to the Bulb as a co-editor. The co-editor can edit, assign, and monitor the Bulb but can not add other instructors as collaborators.
  • Facilitator: The Bulb’s owner adds you to the Bulb as a facilitator. The facilitator can assign and monitor the Bulb but can not edit or add collaborators.

Add collaborators to Bulbs

Click the Bulb's thumbnail or actions button and select Collaborate.

Switch to the Collaborators tab, enter the email addresses of the collaborators, select the access type to be “Can Edit (Co-editor)” or “Can View/Assign (Facilitator)”, and click Add Access to share the interactive video with these instructors. Multiple collaborators can be added at once with the same access type, and you can also adjust the access type individually by following the steps in the next section.

Edit permission or transfer Bulb ownership

Click the Bulb thumbnail or actions button and select Collaborate.

Switch to the Collaborators tab. The access type for each collaborator will be listed behind their name.

Expand the drop-down menu to change the access type, remove access, or make a collaborator the new owner of this Bulb. If ownership is transferred to another instructor, the original owner will become the co-editor of the interactive video.

Add collaborators to multiple Bulbs at once

Select the Bulbs by clicking the checkbox in front of them and select Manage Permissions. Please note that only the Bulbs that you own can be selected.

Enter the email addresses of the collaborators, select the access type to be “Can Edit (Co-editor)” or “Can View/Assign (Facilitator)”, and click Add Access to share the interactive videos with these instructors.

Share Bulbs through preview links

The Preview links allow you to share your Bulbs with others who do not have a WeVideo account. This can be helpful for quality control review or sharing course ideas with other instructors. Please note that the answers submitted through the preview link will not be stored and can not be examined afterward. If you want to keep the Bulb user data, please assign it to a class.

To access the preview link, click the thumbnail and select Collaborate.

Copy the link and share it with others. You can also expand the Advanced Settings to enable the Show Embed Code option to acquire the embed code for the Bulb.

When previewing the interactive video, the user can click the side zone button to expand the side zone and click the Copy Bulb button to copy the interactive video into their WeVideo account to edit and assign the copied Bulb to their class. The edits to the copied Bulb will not affect the original Bulb.

Playlists

Playlist’s ownership

Instructors can find their ownership of the playlist by checking the icon next to its title.

There are three different types of ownership:

  • Owner: The playlist is created by you and you can add collaborators.
  • Co-editor: The playlist's owner adds you to the playlist as a co-editor. The co-editor can edit, assign, and monitor the playlist but can not add other instructors as collaborators.
  • Facilitator: The playlist’s owner adds you to the playlist as a facilitator. The facilitator can assign and monitor the playlist but can not edit or add collaborators.

Add collaborators to playlists

Click the playlist icon or the actions button of the playlist and select Collaborate.

Enter the email address of the collaborators, select the access type to be “Can Edit (Co-editor)” or “Can View/Assign (Facilitator)”, and click Add Access to share the playlist with these instructors. When users are added as collaborators to the playlist, they will also become collaborators of the Bulbs in the playlist.

Click the playlist icon or the actions button of the playlist and select Collaborate.

The access type for each collaborator will be listed behind their name.

Expand the drop-down menu to change the access type, remove access, or make a collaborator the new owner of this playlist. If ownership is transferred to another instructor, the original owner will become the playlist's co-editor.

Add collaborators to multiple playlists at once

Select the playlists by clicking the checkbox in front of them and select Manage Permissions. Please note that only the playlists that belong to you can be selected.

Enter the email addresses of the collaborators, select the access type “Can Edit (Co-editor)” or “Can View/Assign (Facilitator)”, and click Add Access to share the playlists with these instructors. 

Classes

Class’s ownership

Instructors can find class ownership by checking the icon next to the playlist's title. There are three different types of ownership:

  • Owner: The class is created by you and you can add collaborators.
  • Instructor: The class owner adds you to the class as an instructor. The instructor can edit, assign, and monitor the content in the class but can not add other instructors as collaborators.
  • Teaching Assistant: The class owner adds you to the class as a teaching assistant. The Teaching assistant can assign and monitor the content in the class but can not edit content or add collaborators.

Add collaborators to the class

From the Classes page, click the title of the desired class.

Select Collaborate on the top left.

Enter the collaborator's email address, choose the collaborator's access type, and select Share Access.

(Optional) The class owner can also toggle on and off whether to adjust the Bulbs/playlists permissions to align with the class permission. For example, if the newly added instructor has co-editor access to a Bulb in the class and is added to the class as the teaching assistant, when this option is on, the newly added instructor's permission to the Bulb will change from co-editor to facilitator.
